Once a manuscript has been deposited, the following are the responsibilities of each stakeholder.

  1. The Author(s) are responsible for knowing when the embargo for their I, P, or C manuscripts end. (They are provided that information upon deposit.)
  2. The Library is responsible for checking that public access to all manuscripts is consistent with their coding. 
    1. The Library is responsible for ensuring that public access to I or P manuscripts is restricted within the 1-year embargo period.
    2. The Library is responsible for ensuring that public access to C manuscripts is restricted indefinitely until the Faculty Office confirms that any confidential information has been redacted.
  3. The Unit is responsible for receiving, reviewing and approving requests by the author to extend the embargo. 
  4. The Library is responsible for revising public access to the manuscript based on any changes made to the coding, as described in the following scenarios:
    1. For C manuscripts, should the Unit or the author wish to change the coding to F, they will need work together to ensure that confidential information is redacted. When the changes have been implemented, the Faculty Office is responsible for informing the Library of the changes to the manuscript and the changing of the coding. 
    2. For I or P manuscripts, should the Unit or the author wish to keep the coding as I or P, they will need to work together to inform the Library that the embargo should be extended. Otherwise the manuscript will automatically be coded as F once the embargo period has expired. 
    3. In general, if the Unit wishes to change the condition of the embargo or the manuscript coding for any reason, the Unit is responsible for informing the library of the updated conditions of the embargo and/or the coding.
